SafeBook is an application designed for tracking activities within a specific system. It is an “off the shelf” software that can be used as a platform to digitalize the process of activity log monitoring across various industrial systems, with its primary vertical being the pharmaceutical industry.

User accounts types

Administrator – Members of this group are the only ones authorized to manage user accounts. They also have the right to enter activity logs and review or generate reports.

Supervisor – Members of this group are the only ones authorized to manage activity logs. They also have the rights to enter activity logs and review or generate reports.

Operator – Members of this group have the right to enter activity logs. If the review option is enabled, they can also review or generate reports (only for activity logs they have access to).

Reviewer – Members of this group only have the right to review or generate reports.

Managing types of activity logs

Types or categories of activity logs can be customized to include up to 5 tailored descriptive fields and up to 5 tailored fields within the activity log.
On the Management screen, select the option Manage Activity Log Types to access the Activity Log Types screen. To add a new type, press the Add New button.
Fill in the required customized fields. To activate a field, check the box in front of the field. Descriptive fields are fields that describe the activity log (e.g., Device Serial Number, Part Number), whereas fields in the activity log are fields that will be filled in when entering an activity into the log (e.g., Software Used).
If necessary, activity log types can be edited by clicking on the name of the type in the list of types or deactivated by clicking the red X on the right side of the list.

Managing groups of activity logs

On the Management screen, select the option Manage Activity Log Groups to access the Activity Log Groups screen. To add a new group, press the Add New button.
If necessary, activity log groups can be edited by clicking on the name of the group in the list of groups or deactivated by clicking the red X on the right side of the list.

Managing activity logs

On the Management screen, select the option Manage Activity Logs to access the Activity Logs list screen. To add a new log, press the Add New button.
When adding a new log, it is important to mention that the selected log type cannot be changed later, so choose carefully. All other fields can be edited later.
If the initial or basic log type is selected, you will see a screen like this.
The activity log editing screen looks like this (notice there’s no option for changing the type).
If the global option for activity log confirmation is enabled, creating and modifying it needs to be confirmed first. This is done by clicking on the “In progress” button on the list.
After selecting the activity log, it needs to be confirmed or rejected. If it’s rejected, the log is returned to the creators for modification.
Archived and deactivated activity logs can be restored to active status by selecting the circular arrow icon on the right side of the archived or deactivated logs list.

Managing predefined activities

On the Management screen, select the option ‘Manage Predefined Activities’ to display a screen with a list of active activity logs. Choose the log to which you want to add a predefined activity.
A predefined activity is added to the selected log by entering a new activity in the ‘New Activity’ field and clicking ‘Add’. A predefined activity can be removed by clicking the red ‘X’ on the right side of the list. The list of predefined activities can be copied from another log by clicking the ‘Copy from…’ button on the left side.

If the option to copy activities from another log is selected, choose the log from the dropdown list, fill in the remaining fields, and click ‘Copy’.
